Reproductions
We can supply copies of most items in our Collections through our Document Supply service. You do not need to be a member of the Library or visit in person to order a reproduction.
Placing an order
- If you are ordering a reproduction of material you are consulting in the Library, complete an order form in the Special Collections Reading Room.
- Otherwise, complete our online order form. You can also use this online form to apply for permission to use reproductions we have already supplied.
- Once we receive your order, we will contact you to confirm whether we can supply your Reproduction, usually within a few days.
- If we can supply your Reproduction, we will send you a Payment Summary confirming the amount payable; you can then make a secure online credit or debit card payment via the University’s website.

More information about ordering
Reproductions can be supplied either as photocopies in PDF, or JPEG/TIFF image files at resolutions of up to 600dpi. Photocopies and Images can also be supplied on paper, in colour or black and white.
- Once we have received payment we will usually supply your Reproduction within a few days – although larger orders may take longer
- PDF Photocopies and JPEG/TIFF image files are normally supplied via web download: we will email you a link so you can download the files. They can be saved to a CD instead if you prefer.
- Paper Photocopies (and CDs) can be collected from the Library, or shipped by first class post (within the UK only), Airmail or Parcel Force.
- Tell us what needs to be Reproduced
- If you know the page numbers, please indicate them
- If you are ordering Images and need only part of a page to be reproduced, then please indicate the part; otherwise the entire page will be scanned
Your order will be passed to our specialist staff, who will check that your Reproduction can be supplied without infringing copyright or causing damage to the material.
- We will contact you to confirm your order within a day or two
- We will also confirm the total amount payable: you can then pay with a credit or debit card via the University of London Online Shop
- If the item is subject to copyright, we will also send you a pre-completed copyright declaration that you should sign by hand and return to us by post, fax or email.
- Once we have received payment — and copyright declaration if required — your order will be completed within a day or two, although large orders may take a few days longer
- We will notify you via email when your order is complete
- If an item is in copyright, reproductions are supplied only for non-commercial research or private study.
- If the item is a published copyright work (e.g. a book or journal), the amount that can be copied is limited to around 5% of the item.
- Copyright artistic works (e.g. maps, photographs, diagrams) may only be supplied alongside other works – e.g. they may be reproduced as part of a book chapter or journal article, but not by themselves.
- Reproductions supplied by the Library may not be publicly disseminated – e.g. published, exhibited, displayed on websites or broadcast – without the Library’s prior, written permission. You can apply for permission the using online order form below, either when you order the reproduction or at a later date.
- If the individual author is known, copyright expires 70 years after the author’s death
- If the individual author is unknown, copyright expires 70 years after publication
- Works published in the last 25 years are always in copyright (or ‘Publication Right’)
- Images are counted as independent artistic ‘works’
- Moreover, where images appear to be photographs of other artistic works, there will be an additional copyright in the photograph
- We cannot copy more than one article from the same journal issue, or more than 5% or one chapter from a published edition such as a book
- Reproductions may only be supplied for non-commercial research or private study
- Images can only be copied as part of another work — such as a book chapter or journal article — and not independently
Most unpublished works held in the Library will be in copyright until 2039

Postage charges are payable on all orders delivered by post.
Digital Reproductions can be saved to CD for an additional charge of £1.00 per CD.
A service charge of £2.60 per item reproduced is added for orders placed outside the Library.
Copies supplied to EU customers are subject to VAT @ 20%
Order PDF or paper copies of University of London Examination Papers.
After you have placed an order for examination papers, we will send you a payment summary with the amount due. Once paid, copies will normally be shipped within a few days.
Our current charge is £2 per subject per year.
Reproductions and Licensing
Making a copy
Digital cameras and other handheld devices may be used to take digital images of Special Collections material in the Special Collections Reading Room for non-commercial / personal research and private study only and according to the following guidelines:
- No tripods, or other stands
- No flash photography
- Devices should be set to ‘silent mode’
- If your device has a wrist/neck strap please use it to reduce the risk of dropping the device
- You will be asked to stop if other researchers are being distracted
Copyright: it is your responsibility as the researcher taking taking digital photographs to ensure that the taking and subsequent use of images complies with copyright legislation.
A Reproductions Service is also available, and orders can be placed in the Special Collections Reading Room or online. Images for publication or other reproduction should be ordered through the Reproductions Service.
Reproductions Licensing
The Library owns its own copyright in every Reproduction supplied – this is separate from any copyrights that may subsist in the original material
If you wish to publicly disseminate a Reproduction – for example, in a publication, website, exhibition or broadcast – you must first apply for the Library’s permission in the form of a Licence.
If the original material is not out of copyright, you will also need the permission of the relevant copyright owner(s) – the Library cannot grant permission on behalf of a third party.

How to apply
- You can apply for a Licence using the Reproductions Order Form
- Once we receive your application, we will send you a Licence for you to sign and return to us, and a Payment Summary so you can pay the relevant fee online with a credit or debit card
- If we have not already supplied the Reproduction, you can order it at the same time as the Licence using the Reproductions Order Form, and we will send you a Payment Summary for the total amount to include the cost of the Reproduction and the applicable Licence fee
- Once you have signed the Licence and made payment, we will send you a confirmed Licence authorising use of the material
- We reserve the right to request, as a condition of the Licence, a copy of the physical item containing the material once it becomes available
